Terms & Conditions
of hire for The Bedford Bar.

1. Definitions

“Equipment” means the items hired out by the owner to the hirer. ‘Hirer’ means any person who requests the owner to hire equipment to them. ‘Owner’ means SE Curtis and CD Hamilton, ABN 89 105 234 355. ‘Terms’ means these terms and conditions.

2. Terms of Payment

The hirer agrees to pay the Owners the agreed hire fee, per guest per hour of operation.

A 25% non-refundable deposit is required to confirm the booking and hire date with the remaining amount due a minimum of 28 days before delivery of the vehicle or the event date whichever is sooner. With the booking fee The Bedford Bar guarantee to the Hirer that your booking date is reserved and that we will not take any further bookings or events for that date. If the full amount is not paid by the event date itself then the service will not be provided.

Minor damage and wear and tear will not be charged to the hirer, however any damage caused by guests or by passers whilst we are set up at the event will be charged at the cost of repair.

3. Cancellation

25% booking deposits are non-refundable. If the hirer does make payment in full at time of booking, and cancels no later than 28 days prior to booking, then 50% of the payment will be refunded to the hirer.

4. Hirer’s obligation

The Bedford Bar is to have exclusive bar rights at the event and to be staffed exclusively by our own staff unless previously arranged. Guests are not to be allowed behind the bar under any circumstances, however we’re happy to have the Bride and Groom behind the bar for photos if required.

The hirer will provide all alcohol and drinks to be served by the bar. We can arrange to collect your drinks and pre-chill them for you with prior arrangement (at least 14 days in advance of the event) for a charge equal to 10% of the value of the drinks purchased. Final guest numbers are to be confirmed within 14 days of the event.

The hirer must confirm the drinks menu with The Bedford Bar least 28 days before the event, particularly if we are to be providing mixology services at your event. We can make a maximum of 4 cocktails per event, we do have a menu available if you are interested in cocktails. The Bedford Bar also serves wine, bubbly, draught and bottled beer and spirits in addition to soft drinks.

The hirer is also to provide beer for use with the draught beer taps if required for your event. We recommend the Red Dragon Brewery in Portsmith, Cairns for this and we can help with recommendations if required also.

The Bedford Bar encourages responsible drinking and is in no way responsible for alcohol consumption. The Bedford Bar will not serve alcohol to guests that we believe to be underage unless they can provide proof of age and The Bedford Bar will not be held responsible for any disappointment experienced due to not serving those who cannot prove their age. The Bedford Bar also will not be held responsible for excessive intoxication and reserves the right to stop service for those who appear to be intoxicated and/or aggressive.

The hirer is required to provide access for the truck and an appropriate flat, level piece of ground for us to set up. The vehicle is 6.5m long, 2.3m wide and 2.72m high, The Bedford Bar cannot be held responsible for any damage to the vehicle made by any low hanging or otherwise branches, which obstruct our way in.

The hirer is also to provide licensing for the event if required by any bodies including the local government, state government or venue. We also require power and water to the area in which we are to set up.

5. Inclusions

To be included in your hire of The Bedford Bar are the following:

Delivery and original set up of the truck by the owners

Take down support

Travel to your event within 100km of Cairns city centre. Travel further afield with prior arrangement.

We will also include use of the front serving fridge (129L) and the Kegerator Beer fridge including taps, CO2 bottle and cooling system. Beer to be provided by the hirer. If it is a large event (over 100 guests) we would recommend hiring a trailer cool room, especially if serving bottled beer. There are numerous places in Cairns and surrounds that hire these for a small fee and they make keeping all your drinks ice-cold much easier (also useful for storing a wedding cake). We can advise if interested.

Glass washing machine and hoses-this does require a water supply.

Bar Counter for use in front of truck (2 x tables to be assembled by owners and 1 x black curtain for use underneath) with server.

3 large eskies

Insurance for the capital value of the truck and bar and public liability insurance also.

Staff-number of staff dependent on number of guests.

All standard soft drinks, additional varieties available by request.


Full glassware for any number of guests. Any lost or broken glassware will be charged at cost price to the hirer.

Drinks signage, chalkboard menu boards and other bar accessories.

6. Property

The hirer acknowledges that the owner or the owners agents may inspect the equipment at any time during the period of hire, whether notice is given to the hirer or not, and the hirer shall provide assistance and co-operation to enable such inspection of equipment. The hirer acknowledges that all property in and title to equipment at all times remains with the owner.

7. Release and Indemnity

The hirer hereby releases the owner from, and agrees to indemnify the owner in respect of any third party claims, action, suits, demands, cost and expenses for damage or injury to person or property arising directly or indirectly out of the hire or use of the equipment by the hirer or these terms.

The Bedford Bar does not supply alcohol and are not responsible for alcohol consumption during the hire period.
We support responsible alcohol consumption.

Sophie and her amazing team were absolutely amazing at our wedding. We can’t thank them enough. No problem was too big, even running out of alcohol!!! They grabbed more from down the road and kept the party going. The truck is magnificent and makes for amazing photos. We would definitely recommend them and use them again in a heart beat.
